SailPulse User Guide

Quick orientation for tenant admins, crew, and developers.

Login & Access

  • Tenant Admins: manage users, vessels, PMS, checklists, defects, drills, files, cabotage.
  • Crew: limited to assigned vessel modules (PMS/Drills/Defects/Checklists/Files as permitted).
  • Developers: system-wide controls, error log, credentials vault.

Core Modules

  • Vessels: register vessels, audits, inspections.
  • Crew: profiles, assignments, certificates, crew changes, rotation alerts.
  • PMS: apply templates, generate machinery/jobs, log work orders, history, hours.
  • Defects: log defects, assign responsible officers, close/reopen, history.
  • Drills: record drills per vessel, upload evidence, see due drills (red highlight).
  • Checklists: manage templates (admin) and complete checklists (crew/admin).
  • Files: tenant documents with frequency, last/next upload, view evidence inline.
  • Cabotage: certificates and validity tracking.
  • Archive: closed defects, off-signed crew, other archived records.

Evidence & Uploads

  • Supported: images and PDF (per blueprint rules), auto-compressed where configured.
  • Upload limits: default 1MB; compress to ~200KB when enabled.
  • View files inline; downloads optional.

Workflows

  • PMS: set equipment counts, generate jobs; update running hours; open work orders per job.
  • Defects: create defects, link to PMS machinery, close with evidence, reopen if needed.
  • Crew: assign to vessel/position/slot, set rotation days, track upcoming changes, notify vessel only.
  • Drills: record occurrences, upload drill evidence, due drills show in red.
  • Checklists: select template, complete items, view history by completion.

Security & Credentials

  • Passwords stored hashed and plaintext for admin/developer vault visibility; first login prompts change.
  • Terms acceptance is required once per user and can be renewed if terms change.
  • Tenant admins manage their users; developers manage system-wide.
